Situation:
The Office Manager needed to implement a multilingual, multi-office after-hours call center capable of dispatching emergency calls to the appropriate on-call providers across all locations, based on the patient’s issue or type of care required. In addition, the organization required a fully HIPAA-compliant solution, with all messages delivered securely through encrypted email.
Solution:
As a HIPAA-compliant and bilingual call center, Tel-Us Call Center implemented a customized solution designed to meet the needs of each office while maintaining centralized efficiency. Separate accounts were established for every location, allowing messages and billing details to remain organized and distinct. Multilingual call handling was supported through pre-screened language recordings, bilingual English/Spanish agents, and interpreter services for additional languages. Shared on-call scheduling was configured across all accounts, ensuring emergency calls were routed accurately to the appropriate providers. Secure encrypted email delivery was implemented for all communications, and consolidated billing was structured to provide individual office detail on a single master invoice.

Situation:
A nationwide clinical study organization with more than 50 offices was using a combination of local answering services, while some locations had no after-hours coverage at all. Situation:
An existing property management client required after-hours calls to be professionally handled and properly triaged. Emergency calls needed to be escalated to the on-call technician when the caller authorized overtime service. After successfully utilizing the service for some time, the client approached Tel-Us Call Center to explore whether the process could be further streamlined by having emergency work orders entered directly into their internal property management software.
Solution:
Tel-Us researched the client’s software platform to determine whether an API was available to support data integration between the two systems. Once it was confirmed that the software provider offered API access, Tel-Us implemented an integration that allowed emergency work order information to transfer directly into the client’s internal system.
By utilizing the REST API capabilities within the Tel-Us call handling platform, data could be automatically synchronized between both companies, reducing manual entry, improving efficiency, and saving valuable time and resources for both the client and Tel-Us agents.

Personal Injury Law Firm
Situation:
For many years, Tel-Us Call Center managed all after-hours calls for a personal injury law firm. New potential cases were treated as high priority and immediately connected to the firm’s on-call representative, while detailed notifications were simultaneously sent via text message. Each morning, the office also received a comprehensive email recap of all after-hours activity.
Although the process was effective, office staff still needed to manually enter new case information into their case management system the following day. To improve efficiency and reduce administrative workload, the Assistant Director of Operations asked whether Tel-Us could integrate directly with LeadDocket.
Solution:
Tel-Us implemented an API-based integration using External Post functionality to securely transfer new case information directly into the firm’s LeadDocket system in real time. This automation eliminated the need for manual data entry, improved response times, and provided the law firm with immediate visibility into new case activity as it occurred.
The integration streamlined operations, reduced administrative effort, and enhanced the firm’s ability to track and manage new client inquiries more efficiently.

High Call Volume Office
Situation:
A high-volume office with an active front desk operation relied on a team of 6–10 in-house staff members to answer calls, transfer callers to various departments, and greet visitors. For many years, Tel-Us Call Center had supported the company by handling overflow calls and providing Answer & Transfer services during peak periods.
When the COVID-19 pandemic impacted normal business operations in 2020, the company suddenly needed all incoming calls redirected to Tel-Us in order to maintain uninterrupted customer service while office staff worked remotely and access to the physical office became limited.
Solution:
Tel-Us rapidly scaled operations to successfully manage the company’s full incoming call volume, continuing to provide seamless Answer & Transfer services on behalf of the organization. The transition allowed callers to experience uninterrupted professional service during a critical and uncertain time.
When the office later reopened, the company chose to continue routing all calls through Tel-Us and significantly reduced the size of its in-house front desk staff, retaining only 1–2 employees to greet visitors onsite. Government Offices
Situation:
A state government agency required reliable after-hours, weekend, and holiday coverage to ensure continuous availability for emergency situations. Across the state, 25–30 offices operated with different designated personnel who needed to be contacted depending on the nature and severity of each incident.
In addition to phone-based emergencies, the agency also relied on incoming email reports containing critical information. These emails required timely review outside of normal business hours to determine whether any situation warranted immediate escalation and response.
Solution:
Tel-Us Call Center developed a structured, multi-office support solution by creating individual accounts for each government office, ensuring that each location’s escalation protocols were accurately maintained while preserving consistency in service delivery. Although the response procedures were standardized, the designated contacts for each office were customized based on jurisdictional requirements.
A centralized email intake system was also established to capture all incoming communications for the agency, regardless of office location. Tel-Us agents actively monitored, reviewed, and categorized these emails in real time, assigning them to the appropriate office and initiating escalation when necessary.
This coordinated approach enabled the agency to effectively maintain public service readiness while closing physical offices during evenings, weekends, and holidays—without sacrificing visibility into urgent or time-sensitive matters.
